The CHARISMA Sales Order Processing/Invoicing
module is a purpose designed flexible interface between the sales
desk and invoicing functions. The module provides many additional
features to facilitate the processing of orders, invoices and credit
notes whilst seamlessly integrating with the sales ledger, stock
control and nominal ledger. Features include:
- Optional enquiry logging. Details of
enquiries from customers can be logged and subsequently converted
to orders at a later date. Quotations can be printed or faxed
directly to the customer from an enquiry.
- Powerful customer and stock searches.
Fast and comprehensive search on all or part of the customer account
number, name, address, post code, telephone number and contact
names and on any part of the stock code or description plus search
facilities on customers' part numbers, suppliers' part numbers,
catalogue part numbers and catalogue page.
- On-line credit control. Displays the
credit status (over credit or on stop) with the option to hold
orders until authorisation is given.
- Flexible discounting/pricing facilities.
Options include discount matrix, quantity breaks, chain discounts,
settlement discounts, special prices, net prices, contract prices,
multiple price lists and promotional offers.
- Back-to-back ordering. Allows the automatic
creation of purchase orders when customers order non-stock/out
of stock items. Goods will be automatically tied up to the awaiting
sales order and the despatch paperwork triggered automatically
on receipt of goods.
- Forward/scheduled orders. Customer orders
may be placed on forward order or scheduled over a period of time.
This allows for better forecasting and planning of purchases to
ensure customers receive their scheduled orders on-time.
- Trade counter sales. This fast order
entry routine provides a quick and efficient response to trade
counter customers. Allows for both account and cash sale customers
with auto payment reconciliation to the invoice and end of day
cash sale summary.
- Picking and despatch documents. Options
include picking notes, bulk picking sheets and advice/delivery
notes. Picking and delivery notes can print automatically to the
correct printer (with the correct stationery loaded) and can print
in sort sequence (including by bin number).
- Vehicle routing. Vehicles, delivery days
and drop sequences can be set up which will build delivery schedules,
produce vehicle loading sheets and a drivers round sheet. Delivery
notes can also be printed for each vehicle in the correct delivery
sequence.
- Automatic calculation of carriage. Carriage
charges can be automatically calculated from a carriage table
based upon carrier, the order weight and delivery address.
- Despatch confirmation. A single program
which can allow the user to amend despatched quantities, batch/serial
number information, picker and packer details as well as flagging
the order for invoicing and printing the despatch documentation.
- Real time update. CHARISMA will update
all sales, stock and nominal ledger files once an invoice is posted.
- Consolidated invoicing. Daily, weekly
and monthly invoicing for selected customer accounts.
- EDI - Electronic Data Interchange. EDI
is available as an option with CHARISMA enabling the electronic
receipt of orders or transmission of invoices direct from/to the
customer via recognised network providers such as Tradenet, Easylink
etc.
- Bar coding. Various bar coding facilities
are available within Sales Order Processing and invoicing including
product verification.
- Outstanding order reporting. With profitability
analysis and below margin warning.
- Optional weight print. If the product
weight is set up in the stock file then the despatch weight may
be calculated and printed on the picking and despatch note.
- Optional certificate of conformity. Wording
for certificates can be set up and selected to print on the invoice.
- Minimum order values. When set the order
value can be automatically lifted to the minimum accepted. All
screens are easy to read, well designed and always provide only
relevant information.
